B2B SaaS company with growing sales team struggled with three pain points: salespeople forgot follow-ups on deals, leads had empty profiles without company info, and meeting notes were chaotic and incomplete. They needed automation package that would solve these problems without increasing headcount.
Wyzwanie
Sales team lost deals through lack of systematic follow-ups, wasted time on manual company research and creating meeting notes. Each salesperson spent 5-7h weekly on tasks that could be automated.
Lost deals through lack of follow-ups
Salespeople forgot about deals that had no activity for several days. Lack of systematic reminders caused leads to cool down and choose competition.
Empty lead profiles in CRM
New leads had only email and company name. No info about industry, company size, technologies. Sales had to manually google each company before cold call.
Chaos in meeting notes
After each demo call salesperson spent 15-20 min transcribing notes to CRM. Often lost key pain points or client objections.
No engagement tracking
No visibility which deals are hot and which require nurturing. Sales manager did not know where bottlenecks were in pipeline.

We built package of 3 N8N automations: (1) deal monitoring with auto-tasks for sales, (2) AI-powered lead enrichment via Google Gemini, (3) meeting bot recording and transcribing calls.
Deal Activity Monitoring
Automation checking all deals in pipeline daily. If deal has no activity (email, call, task) for 3+ days - automatically creates task for salesperson with follow-up reminder.
AI Lead Enrichment with Google Gemini
Webhook from HubSpot on new lead → AI Agent (Google Gemini) + HTTP Request scrapes Google about company → Gemini extracts: industry, company size, technologies, social media → Update company in HubSpot.
Meeting Bot - recording and transcription
Bot automatically joins scheduled Google Meets, records meeting, performs audio-to-text transcription, generates AI summary (pain points, next steps) and sends email with notes to sales rep.
HubSpot CRM integration
All 3 automations synchronize data with HubSpot: creating tasks, updating company profiles, adding meeting notes. Single source of truth for sales team.
