Dental clinic ran Facebook advertising campaigns generating dozens of leads daily interested in various services (implants, orthodontics, whitening, checkups). Manual lead management, email and SMS sending and CRM transfer took hours daily and resulted in lost leads.
Wyzwanie
Manual lead management from Facebook Ads was inefficient - each lead required manual classification, personalized email/SMS sending and CRM addition. Team wasted time on routine tasks instead of calling patients.
Chaos in leads from different sources
Leads from Facebook went to forms - each interested in different service (implants, orthodontics, whitening). Lack of automatic segmentation caused generic communication.
Manual follow-up sending
Each lead required manual welcome email and confirmation SMS sending. Nurturing sequences did not exist - one email and silence.
Delayed patient contact
Response time to new lead was 2-4h. By that time competition already called patient. No instant follow-up = lost conversions.
No tracking and lead scoring
No information which leads are most engaged (open emails, click links). Team called everyone without prioritization.

We built advanced automation in N8N with Facebook Lead Ads webhook, 6 nurturing paths by service type, email/SMS sequences, lead scoring and automatic CRM synchronization.
Webhook and lead segmentation
Facebook Graph API integration via webhook - each new lead automatically goes to N8N. System filters leads by interest (implants/orthodontics/whitening/checkup/other) and routes to dedicated path.
Custom JavaScript lead enrichment
For each segment custom logic in JavaScript: phone number validation, data normalization, public database enrichment, lead score calculation based on source and form completion.
Multi-channel nurturing (Email + SMS)
Each path has dedicated sequences: instant welcome SMS, email with service info, follow-up after 2 days, appointment reminder. Content matched to service type.
CRM sync and lead routing
Automatic lead addition to CRM with tags, statuses and lead score. Hot leads (high score) go directly to top sales rep with alert. Cold leads get longer nurturing sequence.
